AMC & Vendor Management Services in Hyderabad

PropSquare LifeSpaces Management runs AMC and vendor management across Hyderabad from its head office in the city, for gated communities, office towers, hospitals, schools and industrial units. In Hyderabad the problem usually starts at handover. When a builder hands a western-corridor tower or a large gated community to its association, it also hands over a stack of contracts the builder negotiated: lifts, DG sets, STP, fire systems, pumps, housekeeping and security, often on the builder's terms, with renewal dates nobody has written down. Meanwhile the statutory calendar keeps running: the trade licence on a calendar-year cycle, issued by GHMC or by the Cyberabad or Malkajgiri municipal corporation depending on the site, the fire NOC renewed by the date printed on the certificate, and professional tax returns every month. We take that whole stack over, put each contract on one standard, and give the committee or facility head one owner and one monthly report.

Benefits of professional AMC & vendor management services in Hyderabad for your property

  • Builder-to-association contract takeover: every inherited AMC read, priced and either renewed on fair terms or retendered before it auto-renews
  • One contract register for lifts, DG and UPS, STP and WTP, fire systems, pumps, HVAC, housekeeping, security and pest control, with scope, SLA, rate and expiry in one place
  • A Hyderabad compliance calendar that tracks the trade licence from whichever corporation covers the site, fire NOC renewal by the date on the certificate, pollution-board consents and monthly professional tax filings
  • Vendor onboarding checked against the labour codes in force since November 2025: contractor licence where needed, wage and social-security compliance, and site safety
  • Like-for-like quotes at every renewal, so the committee sees what the market charges before it signs
  • Monthly vendor scorecards on attendance, response, quality and safety, used to decide renewals and exits rather than filed
  • One consolidated MIS each month instead of a dozen vendor PDFs, reviewed with the committee or facility head
  • A single PropSquare Service Manager who owns every miss, escalation and renewal, so the committee stops chasing vendors one by one

Why choose PropSquare AMC & Vendor Management Services in Hyderabad?

  1. Run from our Hyderabad head office

PropSquare's head office is in Hyderabad. The person who reads your contracts, the supervisor who walks the plant room with each vendor and the manager who presents the monthly MIS all work from the same city base.

  2. Built for the handover moment

Most associations inherit their vendors from the builder, along with contracts they did not negotiate. We list every AMC, check what it actually covers against the equipment on site, flag auto-renewals and one-sided clauses, and give the committee a clear renew, renegotiate or retender recommendation for each, the same discipline as our handover and takeover service.

  3. A calendar that knows Hyderabad's dates

The trade licence runs from January to December, with late-payment penalties after the December deadline. Since February 2026 it is issued by one of three corporations: Cyberabad for the Serilingampally, Kukatpally and Qutbullapur zones, Malkajgiri for the Malkajgiri, Uppal and LB Nagar zones, and GHMC for the remaining zones. We confirm which one applies. The fire NOC for a high-rise has to be renewed after the occupancy NOC, and the guidance on how often has varied (the department's FAQ says yearly, a 2016 circular moved to five years), so we diary the expiry date printed on each certificate. Professional tax is filed monthly. We put these on one calendar with reminders, owners and evidence of filing, so nothing depends on one committee member's memory.

  4. Vendors held to the new labour codes

The four labour codes came into force on 21 November 2025. Under the occupational safety code, a contractor engaging 50 or more contract workers needs a licence, and the establishment the work is done for should still check that wages and social-security contributions are paid. We check this before a vendor mobilises and keep the records on file while Telangana finalises its own rules.

  5. Renewals with real numbers

Before a contract renews we collect like-for-like quotes from qualified vendors, compare scope line by line and show the committee the difference, so the decision is about value rather than habit.

  6. Evidence, not assurances

Vendor visits are logged against QR-coded checklists with time, technician and photo, and every complaint is tracked to closure in our work-order system. The committee sees what each vendor did, not what the vendor says it did.

What we cover

Contract audit & takeover

An inventory of every asset and every live AMC, a read of scope, rates, SLAs, penalties and renewal clauses, and a written recommendation for each contract before the next renewal date.

Vendor selection & onboarding

Shortlisting, site visits, like-for-like quotes, reference checks and onboarding to one contract standard: scope, response and resolution SLAs, payment terms, insurance, indemnity and exit clauses.

Labour and statutory checks on vendors

GST and PAN, trade and statutory licences, contractor licence under the occupational safety code where the headcount requires it, wage and EPF and ESI records, PSARA for security agencies and FSSAI for food vendors.

Hyderabad compliance calendar

Trade licence from GHMC, Cyberabad or Malkajgiri as the site requires, fire NOC renewal by the certificate's expiry date, pollution-board consents for STP and DG sets, Electrical Inspectorate approvals, monthly professional tax and every AMC expiry, tracked with owners, reminders and filing evidence.

On-site supervision

A PropSquare supervisor attends vendor visits, checks the work against the checklist, signs off or raises a re-visit, and escalates repeat misses to the vendor's management.

Scorecards & renewals

Monthly scorecards on attendance, response time against SLA, quality, safety and invoice accuracy, with like-for-like quotes and a renew, renegotiate or exit recommendation before each contract ends.

Consolidated MIS

One monthly report covering every contract's status, scorecards, the compliance calendar, spend against budget, open complaints and incidents, reviewed with the committee or facility head.

Multi-site portfolios

For owners and developers with several Hyderabad properties: one contract standard, pooled renewals where it lowers cost, and the same report format on every site.

Frequently asked questions

Our builder has handed over the community. What should the association do with the existing AMCs?

List every contract first: what it covers, what it costs, when it renews and whether it renews automatically. Then compare the scope with the equipment actually on site. We do that audit, flag contracts that are overpriced or one-sided, and recommend renewing, renegotiating or retendering each one before its renewal date.

Which licences and renewals does a Hyderabad property have to track?

Typically the trade licence for commercial premises (renewed each calendar year, from GHMC or the Cyberabad or Malkajgiri corporation depending on the site), fire NOC renewal for high-rise buildings by the date on the certificate, pollution-board consents where an STP or large DG set needs one, Electrical Inspectorate approvals, monthly professional tax, and the expiry of every AMC. The exact list depends on the building, so we confirm it during the survey.

What do the new labour codes change for our vendors?

Since 21 November 2025, contract labour is covered by the Occupational Safety, Health and Working Conditions Code. A contractor with 50 or more contract workers needs a licence, and the establishment should still check that wages and social-security contributions are paid. We check each vendor against this before they start and keep the records ready for inspection.

Do lifts need a licence in Telangana?

Not yet: Telangana has no lift-specific licensing Act in force, so lift AMCs are measured against IS 14665, NBC 2016 and the OEM manual. We hold the lift vendor to those standards; see our lift maintenance in Hyderabad page for detail.

Will you replace our current vendors?

Not by default. Good vendors stay and move onto our contract standard and reporting. Vendors that miss SLAs repeatedly, or cost well above the market for the same scope, are put on notice and replaced at renewal, with a planned handover so there is no service gap.

Which parts of Hyderabad do you cover?

We cover Hyderabad and Secunderabad, including the western corridor (HITEC City, Gachibowli, the Financial District, Kokapet, Narsingi, Tellapur, Miyapur), the north (Kompally, Kukatpally, Bachupally), the east (Uppal, LB Nagar) and the older central blocks, and survey every site before quoting.

Can we take AMC and vendor management on its own?

Yes. It is a complete service by itself: your vendors keep doing the work, and we manage them. If the committee later wants housekeeping or security from us directly, that is a conversation for renewal, never a condition of starting.
