PropSquare Field App — Privacy Policy

PropSquare Field is a work application for facility-management staff. It is provided to technicians and site staff by their employer, and it is not a consumer app. You can create a login yourself and ask to join the property you work at, but you see no work until an owner or admin there approves that request — or your employer adds you directly. It is not intended for residents.
This policy explains what the app collects, why, and what control you have. It covers the PropSquare Field mobile application only; use of the propsquares.com website is covered by our website Privacy Policy.
Who is responsible for your data
PropSquare LifeSpaces Management Private Limited (CIN U74990TG2019PTC129763), 3rd Floor, 302, Venkat Surabhi Plaza, Hitech City Main Road, Surya Enclave, HITEC City, Hyderabad – 500081, Telangana, India operates PropSquare Field on behalf of your employer. Your employer decides who works for it in the app — by adding you, or by approving your request to join — and what work is assigned to you; your work records belong to your employer.

What the app collects
Your identity and contact details. Your work email address, which is how you sign in — the app sends you a one-time code rather than asking for a password. When you first sign in you are asked to complete your profile: your first and last name, your phone number, and your date of birth.
Your request to join a property, if you created your own login. The app sends the property you chose, and that property’s owners and admins see the request, with your name and email, so they can approve or decline it.
Your location, once, when you check in. When you check in for attendance, the app takes a single location reading at that moment to confirm you are at the site.
- Your location is not tracked in the background, ever. The app does not have background location permission and cannot request your position when you are not using it.
- There is no continuous tracking while you work. One reading, at check-in.
- If your location cannot be determined, or you decline the permission, your check-in still works — it is flagged for your supervisor to review rather than refused.
Your work activity. The work orders assigned to you and what you record against them: checklist items you tick, notes you add, time you log, and your attendance check-ins.
What the app does not collect
Photographs and camera images. The app uses your camera only to read QR codes on equipment. The code is decoded on your device, and only the identifier inside it is used. No image or video from your camera is ever stored or sent anywhere.
Advertising and analytics data. The app contains no advertising, no advertising identifier, and no analytics or tracking tools. Nothing you do in the app is measured for marketing.
Crash diagnostics. The app is built with crash-reporting capability, but it is switched off and transmits nothing. If it is ever enabled, it would send only a technical fault report — the error itself, the app version, your Android version and your device model. It is configured never to include your name, your email, your location, your session credentials, screenshots, or a record of what you tapped. Should this change, this policy will be updated before it is enabled.
Why the app collects it
Only to do the job it exists for: to let you sign in securely, to show you your work, to record what you have done, and to confirm attendance at a site. Your data is not used for advertising, sold, or shared with anyone for their own purposes.
Who your data is shared with
Your employer, whose records these are, and who assigned your work.
Nobody else. Your data is not sold and not shared with third parties for their own purposes. The app sends data only to PropSquare’s own systems at https://fms.propsquares.com.
How your data is protected
- In transit: all communication uses HTTPS. The app refuses unencrypted connections.
- On your device: your sign-in credentials are stored encrypted, using a key held in your device’s hardware-backed keystore.
- Excluded from backups: your credentials, your queued work and your cached work orders are excluded from Android cloud backup and from device-to-device transfer, so they cannot follow you onto another handset.
- Offline by design: the app is built to work in basements and plant rooms with no signal, so work you record offline is held on your device and sent when you have a connection.
Your choices and your rights
Location is optional. You can decline the location permission and still use the app, including checking in. Before the permission is requested, the app explains why it is needed.
Signing out erases this device. When you sign out, the app deletes your cached work orders, any work still queued to send, and your stored credentials from that device. If you have work waiting to send, the app warns you first so you can sync before signing out.
Your work records stay with your employer. Because your attendance and work history are your employer’s business records, they are not yours to delete unilaterally — much as you could not withdraw a signed paper timesheet. To ask about accessing, correcting or deleting your personal information, write to the grievance officer named above, who acknowledges within 72 hours. Records are retained for ⟦TO CONFIRM: retention period for attendance and work records⟧.
Under India’s Digital Personal Data Protection Act, 2023, you have rights over your personal data, including access, correction and erasure, and a route to raise a grievance. Requests reach us at the contact above.
Children
PropSquare Field is a workplace application for employed adults. It is not directed at children and must not be used by anyone under 18.
Changes to this policy
If what the app collects changes, this page is updated before the change reaches you, and the effective date above changes with it.
